Compensation: $60,000 to $70,000 annual base salary

ROLE SUMMARY
This Project Coordinator opportunity is with an established organization specializing in office furniture and workplace solutions in the Greater Toronto Area. The role supports project coordination, order management, client service, logistics, and installation activities while partnering closely with sales, designers, project managers, vendors, and customers to ensure successful project delivery.

ABOUT THE ROLE
Reporting to the Sales Manager, the Project Coordinator serves as the primary internal point of contact for clients throughout the project lifecycle. This client-facing position is responsible for coordinating quotations, order administration, logistics, scheduling, installations, and post-installation activities while ensuring a high level of customer service and communication.
Success in this role requires exceptional organization, attention to detail, and the ability to manage multiple projects simultaneously while maintaining strong relationships with clients, manufacturers, installation partners, and internal teams.

Key Responsibilities
  • Prepare customer quotations using Project Matrix and Team Design, including pricing, freight, installation, and logistics costs.
  • Coordinate project details, site conditions, access requirements, freight, customs, brokerage, storage, and delivery logistics.
  • Process orders, acknowledgements, change orders, and maintain accurate project records and pricing.
  • Monitor project schedules, delivery timelines, and manufacturer estimated ship dates while keeping sales and project teams informed.
  • Coordinate installation schedules, loading dock reservations, elevator access, and service work orders with installation partners.
  • Confirm product availability and shipping schedules prior to installation.
  • Manage post-installation activities, including deficiency tracking, warranty claims, manufacturer claims, and resolution timelines.
  • Coordinate deficiency orders and communicate updates to clients throughout the resolution process.
  • Conduct post-installation follow-up to ensure customer satisfaction.
  • Review and approve installer and manufacturer invoices while preparing complete documentation for client invoicing.
  • Monitor backlog reports to ensure timely invoicing and project closeout.

ABOUT YOU
  • Experience in customer service or client-facing project coordination.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills with a collaborative, team-oriented approach.
  • Proficiency with Microsoft Office and computer-based project applications.
  • Comfortable working with numbers, pricing, and detailed project documentation.
  • Ability to coordinate activities across internal teams, clients, vendors, and installation partners.
Preferred
  • Experience within the contract or office furniture industry.
  • Experience supporting sales teams and coordinating commercial projects.
  • Familiarity with Project Matrix, Team Design, or similar project management software.
  • College diploma or university degree in Business or a related discipline.
