Compensation: $55,000k - $75,000k
Our client is a well-established and highly respected workplace interiors organization seeking a Client Services Coordinator to join their growing operations team. This is an excellent opportunity for a detail-oriented professional who enjoys project coordination, client service, and problem-solving within a fast-paced commercial furniture environment.
This role will focus primarily on service, warranty, and claims management while also supporting the coordination of medium to large workplace projects from order placement through project completion.
What You'll Be DoingService & Claims Management
- Act as the primary point of contact for service, warranty, and deficiency-related inquiries
- Investigate and determine the scope, ownership, and resolution of deficiencies and service issues
- Coordinate replacement orders, warranty claims, and service-related product requests with manufacturers
- Schedule service work and installations with installation partners
- Track deficiencies, maintain accurate records, and ensure timely resolution
- Conduct site visits alongside Sales or Project Management teams on more complex projects when required
- Manage escalation processes and collaborate with internal leadership on issue resolution
- Coordinate mock-up requests, including product ordering and installation scheduling
- Monitor manufacturer delays, identify risks, and support cost containment efforts
- Prepare and maintain weekly and monthly service and deficiency reports
- Contribute to process improvements, reporting enhancements, and service-level initiatives designed to elevate the client experience
- Support the coordination of commercial furniture projects from order placement through completion
- Prepare delivery and installation documentation
- Review quotations, order acknowledgements, and project documentation for accuracy
- Track project milestones and provide status updates to internal teams and clients
- Manage change orders and project-related documentation
- Coordinate with manufacturers, installation teams, designers, contractors, and project stakeholders
- Assist with invoicing and project closeout activities
- Provide team coverage during vacation periods and assist with additional operational initiatives as required
- 2+ years of experience in client services, project coordination, customer service, claims, or a related role
- Experience within the commercial furniture, workplace interiors, construction, or building products industry is considered a strong asset
- Post-secondary education in Business Administration, Project Management, or a related field is preferred
- Exceptional organizational and time management skills with the ability to manage multiple priorities simultaneously
- Strong communication skills and a customer-first mindset
- Experience working with manufacturers, vendors, and external partners
- Proficiency with Microsoft Office Suite, including Excel, Word, and Office 365
- Experience with CET/20-20 software is considered an asset
